Client Service Associate

The Client Service Associate provides direct support to the Senior Office Administrator (SOA) and the Premier Financial Group team by assisting with client correspondence, handling primary reception, and day-to-day administrative tasks. This role helps ensure smooth office operations by handling delegated responsibilities, preparing client materials, and maintaining a warm, client-facing environment. The ideal candidate is detail-oriented, reliable, and able to work collaboratively under the guidance of the SOA.

The Client Service Associate is responsible for (shared with Senior Office Administrator) :

Client Communication & Correspondence

  • Answer and route incoming phone calls professionally and accurately.
  • Support the Advisory Team by ensuring all materials for client and prospective client meetings are prepared and accurate.
  • Support the meeting follow-up process by proofreading outgoing correspondence, forms, and other materials.
  • Calendar management for internal and external meetings; scheduling, reminders, etc.

Front Desk & Daily Office Assistance

  • Greet clients and visitors, ensuring a welcoming professional experience.
  • Assist with conference room preparation before meetings and resetting spaces afterward.
  • Sort and distribute incoming mail and assist with preparing outgoing mail and packages.
  • Restock office supplies, kitchen items, and shared materials throughout the office.
  • Opening and closing the office daily.

Administrative & Team Support

  • Update and maintain records in Client Relationship Management and other systems as directed.
  • Assist with weekly responsibilities such as preparing birthday cards, printing leadership calendars, and organizing shared resources.
  • Support monthly office activities, including appreciation events and team celebrations, and client mailing lists.
  • Coordinate small supply orders and assist with vendor pickups or deliveries as needed.
  • Assist with compliance-related administrative tasks and documentation.

Ongoing Responsibilities

  • Provide general administrative support to Advisors and the SOA as requested.
  • Assist with assembling client gift baskets, card mailings, and special projects.
  • Maintain consistent internal communication through Microsoft Teams.
  • Support and/or management of various projects as needed.

Qualifications and Skills:

  • Strong work ethic and a desire to build a long-term career in Humboldt County.
  • Minimum of 3-5 years’ experience in a professional office environment.
  • Minimum of 3-5 years’ customer service experience.
  • High school diploma or equivalent (GED) required.
  • Highly ethical, self-motivated, and able to work effectively in a team environment.
  • Strong desire to be of service to others.
  • Commitment to remain in this position for a minimum of 3 years before transitioning into another role.
  • Ability to work independently and as part of a team in a fast-paced office environment.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
  • Excellent written and verbal communication skills.
  • Credit and background check required.

Preferred (Not Required)

  • Experience in the financial services or investment industry.
  • Spanish-speaking or bilingual abilities.
